Privacy Policy

This policy explains what information QSpace collects when you use qspace.online, what it is used for, who else touches it, and the choices you have. The short version: we collect what is needed to run your account and your projects, we do not sell your data, and your project data is processed only to provide the service to you.
Information you give us and information the service produces
- Account details — your name, username, email address, country, and password (stored only as a secure hash, never readable). An individual account may add a company name; an organization account adds the organization's name and, optionally, a registration number, phone number and website. You may also upload an avatar or company logo.
- Project data — the content you create in QSpace: projects, estimates, take-off measurements, uploaded drawings, rate libraries, worksheets, quotations and contacts you store for quoting.
- Billing details — your plan, subscription status and billing email. Card and payment details are collected and held by our payment provider (Paddle), not by us.
- Technical records — ordinary server logs (such as IP address, time and the page requested) and basic records of sign-ins, kept for security and troubleshooting.
Only to run the service
- To operate your account and your projects — storing, calculating, rendering and backing up what you create.
- To sign you in securely, including emailed one-time codes where they apply.
- To run your subscription: upgrades, renewals, receipts and billing emails.
- To answer you when you contact support, and to notify you of things that matter to your account (a payment problem, a material change to terms).
- To keep the service safe — detecting abuse, diagnosing faults, restoring from backups.
We do not sell your personal information, and we do not use your project data for advertising or to train AI models.
Who else processes data, and why
- Hosting — the application and its database run on our hosting infrastructure; your data is stored there and in its backups.
- Payments — Paddle. Checkout and subscription payments are handled by Paddle, acting as the merchant of record. Paddle receives the details needed to process your payment under its own privacy policy.
- Email delivery — sign-in codes, verification and billing emails are sent through our email delivery provider, which processes your email address to deliver them.
- AI — Groq. When you choose to use an AI feature (the Assistant, or Ask AI in the Tool builder), the text you type and the relevant tool or page context are sent to Groq to generate the answer. Don't put information in an AI prompt that you would not want processed by that provider; the features work without you ever using them.
Each provider receives only what its job needs. Where these providers operate outside your country, your data may be processed abroad under their safeguards.
How long data is kept
Your account and project data are kept for as long as your account exists — that is the product. Routine backups are kept on a rolling basis to protect against loss, so deleted data can persist in backups for a limited period before those backups age out. When your account is deleted, your data is removed from the live system and left to expire from backups in the normal cycle. Minimal records we must keep (for example billing records required by tax law) are kept as the law requires.
How your data is protected
Passwords are stored only as salted hashes. Access to the service is over HTTPS. Admin sign-in requires an emailed one-time code on top of the password. Access to production data is limited to what operating the service requires. No online service can promise perfect security, but if we learn of a breach affecting your personal data we will inform you as the law requires.
Access, correction, export, deletion
- Access & correction — your profile details can be viewed and edited in the app; for anything else, ask us.
- Export — your estimates and reports can be exported from the app at any time.
- Deletion — email info@qspace.online from your account email to have your account and its data deleted, subject to the backup cycle and legally required records described above.
Depending on where you live, data-protection law may give you further rights (such as objection or portability); write to us and we will honour what applies.
Not for children
QSpace is a professional tool and is not directed at children. We do not knowingly collect personal information from anyone under 18; if you believe a child has created an account, contact us and we will remove it.
Changes to this policy
If this policy changes in a way that matters, we will update this page and its date, and for material changes notify you by email or in-app notice before they take effect.
