QSpace documentation

Measure, price and run your projects — in one place.

QSpace takes a project from the drawings to the money: measure quantities in Takeoff, price them in Estimate, keep a separate Costing copy, send a Quote, and track receivables, payables and job cost in the ERP.

  • Takeoff — Upload drawings, set the scale and measure counts, lengths and areas.
  • Estimate — Price every row with rates or worksheets; folders total themselves.
  • Quote — A clean client document built from your estimate.
  • ERP — Invoices, payments, purchases and the cost of each BOQ item.

How the apps fit together

Takeoff and Estimate work on the same rows: a row you measure in Takeoff is the row you price in Estimate. A change in one shows up in the other within seconds, without a reload. Costing is a copy of an estimate that you can change on its own and re-sync when you want.

Getting started

Projects

Every piece of work starts with a project.

  1. Create a project. On the dashboard, click New project and enter a name. Adding a location is optional.
  2. Open an app. Each project shows the apps it uses. Click one to open it, or use Add App to add another.
  3. Manage the project. From the project panel you can rename it, set its location, choose its apps and plan its milestones.

Sharing a project

Click Share to invite someone to your project. They will receive an invitation, which they can accept or decline from their notifications.

Archive and settings

Move projects you are no longer working on to the Archive. You can restore them at any time. In Settings you can change the appearance, switch between light and dark mode, and update your password.

Getting started

Plans

What each plan includes.

PlanIncludes
FreeUp to 2 projects, with Estimate, Takeoff (one drawing per project) and Quote (exporting not included). Using an organization promo code raises this to 4 projects.
ProUp to 10 projects.
EnterpriseComing soon.
Good to know: when something is not in your plan, it will warn you of that.
Measure

Takeoff basics

Measure quantities directly from your drawings.

  1. Upload your drawing. Click Upload and choose a PDF or an image, then open it with Open document. If the PDF has several pages, you can move between them under Pages.
  2. Set the scale. Click Set Scale, click two points on a dimension you know, and type its real length. All measurements on that page will use this scale.
  3. Add your items. Build your list on the left with headings and items. You can drag items in from the Library or Master panel, or type your own.
  4. Measure. Click the + next to an item, choose a tool, and draw on the plan. The quantity is filled in for you.
Takeoff
Try it: click +, choose a tool and draw on the plan. Add one more row if you like. Nothing here is saved.

Adding to or clearing a measurement

To measure more for the same item, click Continue next to it. To start an item again, right-click its drawing and choose Remove Element. This clears its measurements so you can measure it from the beginning.

Hiding drawings

Click the eye button next to an item to hide or show its drawings on the plan. The eye next to a heading hides or shows everything under it.

Measure

Measuring tools

Choose the tool that suits what you are measuring.

ToolUse it for
CountItems you count, such as footings, doors or fittings. Each click adds one.
LengthWalls, beams, pipes and other runs. Hold S to draw straight lines.
AreaSlabs, floors, plastering and other surfaces. Draw around the outline and double-click to finish.
PerimeterThe distance around a shape.
Wall areaThe area of a wall, from its length and height.
Takeoff · tools
Try it: choose a tool to see what it measures.

Formulas

Each item can have a formula that turns the measurement into the final quantity. For example, [l]*2*2 multiplies the measured length by 2 and then by 2 again. You can add notes inside a formula, such as [c]*5ft high. Click the formula to edit it.

Ready-made tools

Under More tools you will find tools for common work such as concreting, formwork and reinforcement. They ask for a few sizes and calculate the quantity for you.

Measure

Units

Your item's unit stays the way you set it.

Measuring does not change the unit of an item. If you measure in a different unit, QSpace converts the measurement for you whenever it can.

  • If the item has no unit yet, it takes the unit you measured in.
  • To change an item's unit, choose a new one in its Unit column. Its rate is adjusted to match.
  • Use Unit System to switch between metric and imperial units.
Measure

Library & Master panels

Reuse items instead of typing them again.

The Library is a ready-made collection of items with their rates. Master items lets you use items from another of your projects; choose the project with Select project. Drag an item from either panel into your list to add it, together with its rate breakdown.

Moving items with or without their headings

The button next to the search box decides what moves when you drag a heading. Choose Move with topics to move a heading with everything under it, or Move without topics to move only the item you drag.

Library panel
Try it: click the button next to the search box. The highlighted rows are what would move.

Item numbers

Items can be numbered automatically (A, A.1, A.1.1 and so on) or you can type your own numbers. Use the switch in the Item column heading to choose.

Measure

Progress take-off

Measure the work completed on site.

Use the Progress take-off to record how much work has been done. Each item shows the quantity in the BOQ next to the quantity completed. Your original drawings appear faintly in the background, so you can trace over them easily.

The BOQ lock

Once progress measuring begins, the BOQ is locked so its quantities cannot be changed by mistake. The project owner can unlock it from Manage, or give selected people permission to edit it.

Price

Estimate

Price your items and see the totals.

For each item you can enter the cost rate, gross rate, percentage and markup. Headings show the total of all the items under them, so your totals are always up to date.

  • Use Markup or Set all percentages to apply a percentage to many items at once.
  • Use Provisional Sum or Provisional Rate for items priced as allowances.
  • Turn on Move rows when you want to rearrange items by dragging them.
  • Use Global Variables to set values that many items can share.
Estimate
Try it: click Move rows, then drag a row by its handle.
Price

Rate breakdowns

Build up a rate from materials, labour and plant.

Open an item's worksheet to work out its rate from the resources it needs, such as materials, labour, plant and subcontractors. The item's rate is the total of its worksheet.

To add a resource, choose it from the list. If it is not in the list yet, type its name and choose Add as a new resource.

Worksheet
Try it: type a resource that is not in the list, such as “Tiles”, then add it.

Reports & export

View and share your BOQ in the way you need.

  • View your BOQ Bill-Wise, Floor-Wise or Element Wise. Changing the view does not change your data.
  • Use Reports for printable summaries, and Export to Excel to download your BOQ.
  • Use Restore Backups to go back to an earlier version, or Import to open a backup file you saved.
Price

Costing

A separate copy of your estimate.

Costing gives you your own copy of an estimate. You can change its rates and quantities without affecting the original, and update it from the estimate whenever you need to. Use Open Takeoff to see the measurements behind it.

Price

Quote

The document your client receives.

Quote turns your estimate into a professional quotation with your company details. You can print, download or share it, and export it to Excel or import it from Excel to work on it in a spreadsheet. Exporting is available on paid plans.

Questions & answers

Quick answers to common questions.

Why can't I edit the BOQ?

The BOQ is locked because progress measuring has started. Ask the project owner to unlock it or to give you permission.

Why didn't my item's unit change when I measured it?

This is intentional. Measuring never changes an item's unit, so its rate stays correct.

Why can't I drag items?

Turn on Move rows in the toolbar. The drag handles then appear next to each item.

Estimate
Try it: click Move rows, then drag a row by its handle.
How do I hide a drawing?

Click the eye next to the item. Click it again to show the drawing. The eye next to a heading hides or shows everything under it.

A resource I need is not in the list. What do I do?

Type its name in the resource list and choose Add as a new resource. Fill in its unit and rate, and it is added to your project.
